Participants can now easily roam between rooms thanks to the option to choose their breakout area. The hallmark of an in-person meeting is the ability to break into smaller groups for more in-depth discussions. With Zoom’s Meeting rooms feature, you can replicate this dynamic meeting structure online. Participants in meetings can now choose for themselves which they wish to join video Meeting room thanks to a recent addition from our team.

Previously, the host of the meeting would choose where each participant would sit in the conference room. When the Self-Select Meeting rooms option is selected by the host, participants can now move freely between Meeting rooms without the host’s intervention (and when both the host and participants are using Zoom 5.3.0 or later).

Setting up your account to use Meeting rooms

Up to 50 different breakout sessions can be easily created in Zoom for close cooperation and in-depth discussion. Select Account Settings by going to zoom.us, entering your Zoom login information, and then clicking. Under In Meeting, you can activate the Meeting room feature (Advanced). Once enabled, selecting the “Meeting rooms” button in the lower right corner of the toolbar will allow you to set up meeting rooms during meetings. If you are having trouble accessing the feature, get in touch with the system administrator and ask them to enable Meeting rooms.

When the meeting toolbar’s Meeting rooms icon is clicked, the conference’s host or co-host can access the following choices for managing meeting spaces:

● Manual versus automatic rooms formation – automatic generation of rooms will generate your Meeting rooms automatically, participants are assigned to randomly selected rooms or to the rooms to which they have been assigned in advance. You can Make each room, then distribute individuals to each one using the manual room creation method.

● Move participants- Participants may be moved at any moment by choosing their names and moving them to a different room.

● Room deletion – Selecting this option will remove the chosen Meeting room. The individuals present in that space are still included in the meeting, though. Following the deletion of a room, its participants will once again be added to the list for the next available Meeting room.

● Recreate – This option allows you to start anew by picking your meeting rooms at random once more and automatically allocating attendees to those rooms. As an alternative, you could create the Meeting rooms by hand.

Choices for the Meeting room

The Options menu with options are there to help you customize the Meeting room experience inside the Meeting room panel. Among these choices are:

● Move all Participants to Meeting Rooms – When you select the Open All Rooms option, this option immediately transfers all attendees to a Meeting room, allowing you to rapidly set up Meeting rooms. Set a timer for your meeting rooms so that attendees will be compelled to rejoin the main meeting when it expires. For group assignments or creative-thinking exercises, this option works great.

● Countdown after shutting Meeting rooms – With this option, participants in Meeting rooms can see how many minutes remain until they return to the home session, allowing them to finish their discussions.

● Allow participants to leave the main session whenever desired – This choice enables participants to leave the main session whenever desired with no time restrictions. Meeting room participants can see how many minutes are left before they return to the home session by using the “Countdown after Shutting Meeting rooms” option. This gives them time to wrap up their discussions.

● Allow participants to exit the main session whenever they want – Participants can choose to leave the main session whenever they want, without a time limit. Jumping between Meeting rooms is possible for both hosts and co-hosts.

● Send a message to every Meeting room by broadcasting it. This function is helpful if, for instance, you wish to alert your participants to finish their conversations. When you’re prepared to wrap up your breakout sessions, you may click “Close Rooms,” which will invite attendees to return to the important session.

● Sending participants back to breakouts – You may always choose to split up your participants again after a breakout session has ended. For lengthier classes or events, this is advantageous because you can divide your attendees up as many times as you like.

● Responding to help requests — Participants in a breakout can click the “Ask for Help” icon to request the host join their breakout. The host will be notified and can join that session right away. It’s also crucial to keep in mind that, regardless of the room the meeting host is in, only the main room will be recorded if the virtual conference is being recorded to the cloud. If the local recording is used, the person who is recording will be in the same room as the recording. Local recordings can be made by several people.

The maximum number of attendees in a video call with meeting rooms is determined by the meeting capacity, the number of established Meeting rooms, and whether or not attendees are assigned before to or during the meeting.
